The Department of Psychiatryis looking for an hourly Support Services Specialist to work 35-40 hours per week.

Key Areas of Responsibility

  • Assist in monitoring, reviewing, and routing of discharge summaries to ensure the physicians complete their final reports in a timely manner. Discharge summaries must be sent to the next provider within 24 hours of discharge in order to meet HBIPS metrics. This often requires follow-up with the physicians. Timely completion and routing of discharge summaries is important to the HBIPS metrics used to measure UIHC performance to other hospital providers and will eventually be used in the value-based purchasing program being implemented by the Federal Government.

  • Assist with the duties associated with the involuntary outpatient commitment process in Psychiatry. Timely filing of involuntary commitment reports to the courts is an essential responsibility of the Department and UIHC. Deadlines are established by the Iowa Code. Delays in reporting can result in citations by the courts.

  • Review patient reports in Epic to ensure compliance with Medicare standards.

  • Will forward completed patient reports to Health Information Management for transmission to other persons/agencies as appropriate.

  • Will print and mail patient-related letters in Epic.

  • Daily monitoring of the attending/on-call physician schedule through SmartWeb; record coverage trades to ensure accuracy of schedule; assist with annual input of faculty coverage of all psychiatry inpatient, clinical, on-call and procedural schedules.

  • Communicate with inpatient social workers to determine patients to be reviewed; prepare spreadsheet and distribute to all attendees prior to meeting. Attend meeting and record patient action plans. Purpose is to keep discharge process focused to reduce excessive lengths of stay of psychiatry patients.

  • Maintain weekly communication with psychiatry clinic and emergency dept APPs regarding projected, planned absences to ensure proper clinic/emergency dept. coverage. Update SmartWeb with changes; alert ED & clinic medical directors of any coverage gaps.

Qualifications

Required Qualifications

  • A Bachelor's degree or an equivalent combination of education and experience is required.
  • Prior (6 months - 1 year) administrative experience.
  • Excellent written and verbal communication skills are required.
  • Must be proficient in computer software applications.
  • Experience in customer service and in a patient care field

Desirable Qualifications

  • Excellent organizational skills to handle many projects simultaneously.

  • Knowledge of University policies, procedures and regulations.

  • Experience using EPIC

  • Experience in an academic medical center
